What Causes the Multi-User Mode Error?
Multi-user mode lets multiple people work in the same company file simultaneously over a network. When it fails, it's almost always a hosting or network configuration issue:
- QuickBooks Database Server Manager isn't running. The host computer (where the company file lives) must be running the Database Server Manager service (
QBDBMgrN.exe). If the service crashed, was disabled after a Windows update, or was never installed, no other workstation can access the file.
- Firewall or antivirus blocking QuickBooks ports. QuickBooks uses dynamic ports to communicate between workstations and the host. If your firewall or antivirus is blocking ports 8019, 56728, 55378โ55382, or the QuickBooks executable itself, multi-user connections will fail silently or throw errors.
- Folder permissions are incorrect. Every user who needs to access the company file must have full read/write permissions to the folder where the file is stored. Windows permission changes (often after updates or domain policy changes) are one of the most common causes of sudden multi-user failures.
How to Fix the QuickBooks Multi-User Mode Error
Solution 1: Restart QuickBooks Database Server Manager
- On the host computer (the machine that stores the company file), press
Windows + R, typeservices.msc, and press Enter. - Scroll down to find QuickBooksDBXX (where XX is your version number, e.g., QuickBooksDB33 for QuickBooks 2023).
- Right-click the service and select Restart.
- If the service isn't running, right-click and select Start.
- Set the Startup type to Automatic so it starts with Windows.
- On a workstation, open QuickBooks and go to File โ Switch to Multi-User Mode.
- If prompted, browse to the company file on the network path (e.g.,
\\ServerName\QBFiles\Company.qbw).
Solution 2: Configure Firewall Exceptions
- On the host computer, open Windows Defender Firewall (search for it in the Start menu).
- Click Allow an app or feature through Windows Defender Firewall.
- Click Change Settings, then Allow Another App.
- Browse to and add these executables:
- C:\Program Files (x86)\Intuit\QuickBooks 20XX\QBW32.exe
- C:\Program Files (x86)\Intuit\QuickBooks 20XX\QBDBMgrN.exe
- C:\Program Files (x86)\Intuit\QuickBooks 20XX\QBDBMgr.exe
- Make sure both Private and Public checkboxes are selected for each.
- Click OK to save.
- If you use a third-party firewall or antivirus with its own firewall, add the same exceptions there.
Solution 3: Fix Folder Permissions
- On the host computer, navigate to the folder containing your company file.
- Right-click the folder and select Properties โ Security tab.
- Click Edit to change permissions.
- Select the user group Everyone (or add it if it's not listed).
- Check Full Control under the Allow column.
- Click Apply, then OK.
- Also verify that the
.QBW.nd(network descriptor) file exists in the same folder as your company file. If it's missing, open QuickBooks Database Server Manager on the host and scan the folder.
Still Getting the Multi-User Mode Error?
- Verify only ONE computer is hosting. Go to File โ Utilities on every workstation. Only the host computer should show "Stop Hosting Multi-User Access." All other machines should show "Host Multi-User Access" (meaning they're NOT hosting). If multiple machines are hosting, it causes conflicts.
- Run the QuickBooks Tool Hub. Download the QuickBooks Tool Hub, go to Network Issues, and run the QuickBooks Database Server Manager repair tool.
- Check your network connection. Ensure all workstations can ping the host computer by name. Open Command Prompt and run
ping ServerName. If it fails, you have a DNS or network issue unrelated to QuickBooks. - Contact Intuit Support at 1-800-446-8848 for persistent multi-user issues.
Prevent This Error in the Future
- Use a dedicated host machine. Don't use a regular workstation as the host โ use a server or a dedicated computer that stays on and connected to the network.
- Keep all workstations on the same QuickBooks version. Mismatched versions (even minor updates) can cause multi-user conflicts. Update all machines at the same time.
- Set Database Server Manager to start automatically. Ensure the Windows service starts on boot so multi-user mode is available as soon as the host computer is on.
- Avoid Wi-Fi for the host. The host computer should be connected via Ethernet for reliability. Wi-Fi dropouts cause file locking issues that corrupt the network descriptor file.
- Back up before switching modes. Always create a backup before switching between single-user and multi-user mode, especially after QuickBooks or Windows updates.
